Privacy Policy

This policy explains what personal data we collect throughkaimengpetfood.com, why we collect it, how long we keep it, and what rights you have. It is written to meet the requirements of the EU General Data Protection Regulation (GDPR), Regulation (EU) 2016/679.

1. Who is responsible for your data

We are established outside the European Union. Where we process the personal data of people in the EU in connection with offering goods to them, the GDPR applies to that processing and we comply with it.

EU representative under Article 27: we have not yet appointed one. If you are in the EU and want to exercise your rights, write to sales@kaimengpetfood.com and we will handle the request directly.

2. Data we collect

2.1 The enquiry form

When you submit the form on our contact page we receive the name, email address, company, country, product interest and message you enter, together with your consent confirmation and the time it was given.

  • Purpose: to answer your enquiry and, if it leads to business, to handle the resulting quotation and order.
  • Legal basis: your consent, Article 6(1)(a) GDPR, and — once an enquiry becomes a commercial discussion — the performance of a contract or steps taken at your request prior to a contract, Article 6(1)(b) GDPR.
  • Retention: 24 months from your last contact with us, or longer where commercial law requires us to retain transaction records.
  • Processor: the form is delivered by Formspree Inc. (United States), which transmits submissions to our email inbox. See theFormspree privacy policy.

2.2 Direct contact

If you email, call or message us on WhatsApp, we process the contact details and content you send in order to reply. The legal basis is Article 6(1)(b) GDPR for pre-contractual and contractual communication, or our legitimate interest in responding to business correspondence, Article 6(1)(f) GDPR. WhatsApp messaging is operated by WhatsApp Ireland Ltd.; using it is entirely your choice, and email is always available as an alternative.

2.3 Server log data

Our hosting provider records technical data necessary to deliver the site: IP address, the page requested, timestamp, referring page, browser and operating system. This is processed on the basis of our legitimate interest in operating and securing the website, Article 6(1)(f) GDPR, and is not combined with any other data or used to identify individuals.

2.4 Analytics — only with your consent

If you accept statistics cookies in our consent banner, we load Google Analytics 4 (Google Ireland Ltd.) and Microsoft Clarity (Microsoft Ireland Operations Ltd.) to understand which pages are useful and where visitors run into problems. These tools set cookies and may transfer data to servers outside the EU.

  • Legal basis: your consent, Article 6(1)(a) GDPR.
  • Until you consent, these scripts are blocked and do not run.They are embedded as inert placeholders and are only activated after you agree.
  • Withdrawing consent: use theCookie settings link in the footer at any time. Withdrawal does not affect the lawfulness of processing carried out before you withdrew.

2.5 Cookie consent

The consent banner is provided by Cookiebot (Usercentrics A/S, Denmark). It stores your choice in a cookie so you are not asked again on every page. This cookie is strictly necessary for the consent mechanism to work and is set regardless of your choices; the legal basis is our legal obligation to obtain and document consent, Article 6(1)(c) GDPR, read with the ePrivacy Directive.

2.6 Map embed

The map on our contact page is not loaded automatically. It appears as a placeholder with a button. Only if you click that button do we request the map from OpenStreetMap, at which point your IP address is transmitted to the OpenStreetMap Foundation. Nothing is sent to them unless you ask for the map.

We do not use advertising or profiling cookies, and we do not run automated decision-making or profiling of any kind.

4. Who we share data with

We do not sell personal data and we do not share it for third-party marketing. Data reaches third parties only where they provide a service we need to run the site:

  • our hosting provider, to serve the website;
  • Formspree, to deliver enquiry form submissions;
  • Cookiebot, to operate and record consent;
  • Google and Microsoft, for analytics — and only after you have consented.

We may also disclose data where we are legally required to do so. We have no other recipients.

5. Transfers outside the EU

We are based in China, so enquiries you send us are read and stored there. Some of the service providers listed above are established in, or transfer data to, the United States. Such transfers rely on the safeguards offered by those providers, including the EU Standard Contractual Clauses and, where applicable, the EU–US Data Privacy Framework.

China has not been the subject of an adequacy decision by the European Commission. If you would prefer not to send personal data to us directly, you can contact us through an EU-based agent or distributor instead.

6. Your rights

Under the GDPR you have the right to:

  • Access the personal data we hold about you (Art. 15);
  • Rectify inaccurate or incomplete data (Art. 16);
  • Erasure of your data (Art. 17);
  • Restrict processing (Art. 18);
  • Data portability — receive your data in a machine-readable format (Art. 20);
  • Object to processing based on legitimate interests (Art. 21);
  • Withdraw consent at any time, without affecting processing already carried out (Art. 7(3)).

To exercise any of these, emailsales@kaimengpetfood.com. We will respond within one month. There is no charge, and we will not ask you to justify the request.

You also have the right to lodge a complaint with a supervisory authority in the EU member state where you live, work, or where you believe a breach occurred. A list of authorities is published by theEuropean Data Protection Board.

7. Security

The site is served over HTTPS. Enquiries are transmitted over encrypted connections and access to our email inbox is restricted to the staff who handle customer enquiries. No transmission over the internet can be guaranteed completely secure, but we take appropriate technical and organisational measures to protect your data.

8. Children

This is a business-to-business website. It is not directed at children and we do not knowingly collect data from anyone under 16.

9. Changes to this policy

We update this policy when our processing changes. The date at the top of the page always reflects the current version. Material changes affecting your rights will be made prominent on the site.
